Club Rules

Membership of The Workshop requires members and their guests to accept and adhere to the standards of conduct and these Club rules, which will safeguard the use and enjoyment of The Workshop by all.

1. The Club

The Workshop Leigh-on-Sea Limited is the company you are contracting with. In these Club rules, we will refer to that company as ’The Workshop’ or ‘the Club’.

The Workshop reserves the right to charge members an introduction fee upon joining, an annual subscription fee and for admission to the Club premises for special pre booked events from time to time. The right to amend or waive any such fees or subscriptions from time to time shall be at The Workshop’s sole discretion.

2. Your membership application

By completing and submitting your application for membership via either an in person visit or through the Club website, you agree to be bound by these Club rules.

The membership team admits new members when space is available. The membership team shall have sole and final authority to decide who shall become a member of The Workshop.

If as we hope, your application is able to be accepted for immediate membership start, we will confirm this by sending you a ‘Welcome to the Club’ email.

Your membership will commence on the date your ‘Welcome to the Club’ email is sent to you, or the date your first pro rata period or full monthly fee is paid, or the date that a signed direct debit mandate is made, or by another agreed date per prior arranged with the membership team.

You are free to withdraw an application at any time and should you wish to do so, please contact our membership team by email at hello@theworkshoplos.co.uk.

3. Proposing new members

Members of The Workshop are welcome to propose new applicants to join the Club. The support and recommendation of existing members will be considered positively as a step towards building an inclusive and thriving community at the Club.

4. Membership period and payment of fees

Upon acceptance of your application, your membership will be for a minimum period of 1 calendar month from when you join, after which it moves to a 1 clear calendar month cancellation period. (For your clear understanding this means that from the day you confirm your cancellation by email to hello@theworkshoplos.co.uk you will have 1 more full monthly payment to make.)

Upon acceptance of your membership application, your membership fees become payable immediately. By providing us with your payment details, you accept and consent to being charged the appropriate membership fees in the form requested by The Workshop.

It is within our discretion to amend our membership fees at any time, and we will notify you at least one calendar month in advance if and when there are to be any changes to the amount, date or frequency of the fees due.

5. Membership suspension

You can suspend your membership once per year for a maximum of 2 months for reasons of health, extended travel away from home or other significant life event shall be approved on a case by case basis by the membership team who will aim to treat all requests sensitively and positively.

6. Membership cancellation for non payment

Failure to pay the monthly subscription within 7 days of the due date will result in the member no longer being admitted to the Club and if secure arrangements to settle outstanding fees are not made within 14 days then membership will be terminated without further notice.

7. Your membership phone app

Your membership phone app will be downloaded by you upon signing up during your in-person visit. You will be shown how the app works and any questions will be answered. Your app will be your ‘membership hub’ where you can see all of the Club information, such as updates on club events, booking use for timed sessions in either of the small meeting booths (“Skyfall” or “Goldfinger”) or the large meeting room “Connery”, as well as allowing you private entry into the Club by using the electronic secure door entry system.

Members should also expect to be asked to present their membership phone app if asked by a member of the onsite team.

Where any member allows their phone app to be used by a non-member, the member whose app was used will face termination of their own membership. Please notify us immediately if your membership app has any problems.

8. Membership database and personal data management

It is important for us to have your current details, plus a photograph of you in our membership database. By becoming a member of The Workshop, you agree that we can hold your personal details and a photograph to use in connection with your membership. If your contact or payment details change, please let us know by sending an email to hello@theworkshoplos.co.uk

9. Your personal information

We will use the personal information you provide us in connection with your membership, in accordance with our Privacy Policy.

10. Guests

Members are permitted to bring up to 2 guests into the Club per calendar month and should do so by pre booking via their phone app the day before arrival. A member’s guests may not enter the Club without that member being present. Members may not be separated from their guests within the Club or allow their guests to remain in the Club when they leave. Guests are welcome to use the Club area on the first floor either for work and or socialising purposes but are not permitted to use the Ground floor gym or shower / changing facilities. Members are responsible for ensuring their guests follow all Club rules and policies, and can face suspension or termination of their membership if their guests violate such rules or policies.

11. Children

The Club is designed for use by adults over the age of 18 years. All children under the age of 18 are not permitted to join or enter as a guest, except on special pre booked family days or events as maybe held from time to time.

12. Privacy for members / guests

Members and their guests must accept the right to privacy of other members and shall not approach, disturb or solicit others in their Club with whom they are not personally acquainted, if so requested by the other person or the onsite team. Doing so or continuing to do so after a request for privacy has been made, may lead to being asked to leave the Club for the remainder of that day or to suspension or termination of membership in extreme cases. Please use your good judgement and treat others as you would also like to be treated.

13. Audio/video sound

Phone calls, videos, songs, internet calls, presentations and all other audio can be taken throughout the club, however we ask members to be respectful to others and use personal headphones if possible.

14. Confidentiality

The Workshop management and all staff members are required to adhere to the strictest confidentiality standards and pledge to maintain all records and personal information concerning the members and their guests in the strictest confidence.

15. Illegal drugs / substances / items

No member or guest shall purchase, use, ingest, possess, sell or otherwise distribute illegal drugs or other substances, or attempt to do any of the same with any member or guest. No member or guest shall ask any onsite team/staff for illegal drugs or other substances while on Club premises, or in the immediate vicinity thereof. If any of the actions above prove true, the relevant member and/or guest will be removed from the Club and the membership in question will be terminated.

No member or guest shall purchase, sell, use or possess any object which is illegal or offensive while on Club premises or in the immediate vicinity thereof. If any such objects are found, the item will be confiscated, the relevant member and/or guest will be removed from the Club, the membership in question will be terminated and, depending on the circumstances, we may have to call the police or relevant authorities.

16. Bills

All bills must be settled in full before leaving the Club on the day charges are incurred, unless you have an organised monthly tab arranged with the club. Your monthly tab will be debited from your account unless it is settled in person. Members are ultimately responsible for their guests’ bills.

17. Food and beverages

Please refrain from bringing any outside food or beverages to the Club, unless medically necessary, or with the express approval of the onsite team or as agreed in advance with The Workshop. Purchases may be made from approved third party suppliers whilst in the Club.

18. Private hire and Club maintenance

We may at times close all or part of the Club to members and their guests for private events or for necessary maintenance, repair or redecoration work.

Where we close part of the Club for private events, please honour and respect the privacy of all private events occurring in the Club and refrain from communicating any information about the event to third parties in any medium. Where all or part of the Club is closed for maintenance, repair or redecoration work, or where we need to withdraw facilities or services because we consider that they may pose a risk to the health or safety of our members, guests or staff, or that they are detrimental to the business, we will seek to ensure that any such area, facility or service is reinstated as soon as practicable.

19. Club events

We would love to hear what our members and guests get up to at The Workshop. Whilst you are a member or a guest at our Club, we may ask you to give your views of, and experiences at, The Workshop. We may also film, video or photograph our member events and activities at our Club for use in our membership programmes, as well as advertising, promotions, public relations, and other commercial/business purposes. If you take part in these interviews or events, you agree to us using your name, image and limited other information. You also consent to us publishing any materials produced by, or for, us for any purpose without your further consent, and you waive your right to receive any payment from us in connection with such publication.

20. Accidents and injuries

We want all our members and guests to relax and enjoy the activities and facilities available at our Club in safety. Members and their guests agree to observe the Club rules and any signs published or displayed at our Club at any time; to take reasonable precautions when moving around or using the facilities at the Club.

If a member or guest has an accident or suffers any injury at, or in the vicinity of, the Club, please report this as soon as possible to a member of onsite team / staff and, in any event, within 24 hours of the incident. As well as wanting to check on a member or guest’s wellbeing, this information is needed in order to help us comply with our health and safety obligations and for insurance purposes.

21. Entering / leaving the Club

All members and their guests are asked to respect our nearby residents by being as quiet as possible when entering or leaving the Club premises, or while in the surrounding area. When ordering taxis or arranging other means of vehicle transport to or from the Club please request pick up or drop off at the top of Victoria Road between commercial premises rather than residences adjacent to or south of the Club location.

22. Animals

No animals will be allowed in the Club at any time, except for legally recognised and certified assistance dogs.

23. CCTV

Members and their guests should be aware that for safety reasons, we use CCTV in our Club.

24. Smoking policy

All members and their guests are obligated to abide by the Club smoking policy, and to all applicable no-smoking governmental laws, rules and regulations. No smoking (including e-cigarettes and vapes) is allowed inside the Club at any time. The Workshop reserves the right to prohibit or limit smoking in any area of the Club premises at any time at its sole and absolute discretion.

The Workshop reserves the right to designate certain outside areas of the Club premises as smoking areas and to change the location of such areas at any time. However, all members and their guests are requested to respect the wishes of other members and their guests with respect to smoking, and to refrain from smoking when requested to do so. A smoking area can be found outside on the forecourt to the right side as you exit the front entrance door.

There is a waste container located in the smoking area and we ask that all members and their guests dispose of their used cigarettes into it. The maximum number of persons permitted in the smoking area at any one time is four. The Workshop will manage the numbers as required including asking for immediate cessation of smoking or for persons to leave the vicinity so as not to cause disturbance to our residential neighbours. Excessive noise in the smoking area is not allowed and reasonable requests to reduce noise levels are to be expected as well as immediate cessation of use in the event of non- compliance. Please use your common sense in this regard and understand you are adjacent to a residential area, treating our neighbours as you would also like to be treated.

25. Disciplinary procedure

Conduct by a member or guest that is prejudicial to the reputation and character of The Workshop may result in suspension or expulsion of such member or guest. Such conduct may include inappropriate, violent or abusive behaviour, or the communication of information concerning the Clubs affairs, members or their guests in the Club to the media. An expelled member may not return to the Club as a guest.
A refund of the expelled member’s subscription will be at the discretion of The Workshop. Any member or members who wilfully remove, damage or destroy any property belonging to the Club, or to members or guests on the premises of the Club, will be liable to expulsion and/or suspension or termination of their membership.

Every member binds him/herself to abide by the rules, bylaws and regulations of The Workshop at all times upon acceptance as a member. If The Workshop considers that any members (or their guests) conduct either inside or outside of the Club premises is, at its absolute discretion, contrary to the interests of The Workshop, The Workshop may with immediate effect expel the member or guest from the Club premises and/or suspend or terminate that member’s membership without having to give any reason to such member or guest.

26. Constitution

The Club is constituted to encourage non-political, social and recreational activities.

27. Rights and privileges of your membership

A member shall be entitled to all the rights and privileges of the Club granted to a person in their capacity as a member and shall be bound by these rules, but shall have no proprietary rights in any of the premises or in respect of property of the Club.

28. Use of equipment and facilities

Use of any of the gym or fitness equipment, areas or facilities available at the Club is entirely at the risk of a member. Members are not permitted to bring guests to use the gym facilities. Introduction sessions explaining how to safely and properly use the gym or fitness equipment are available when joining the club. You must not use any equipment, or undertake any activity at the Club, unless you are satisfied that you are competent to do so in a safe and proper manner. You will also be required to complete a health commitment statement confirming that you are in good health and in a fit state to use our gym.

When using any equipment and facilities available at the Club, you must take care to safeguard your own health and safety and that of other people. You will be solely responsible for any loss or injury that you cause to yourself, other persons, or to the equipment or facilities through your unsafe or improper use of the equipment or facilities. This includes your use of them while under the influence of alcohol, drugs or medication, or your failure to advise staff of a medical condition relevant to your use of the equipment or facilities.

29. Liability of The Workshop

All items brought into the club are brought and left entirely at the risk of a member, or their guests. The Workshop staff shall not be liable to any member or guest for any loss, damage or injury suffered by them or their property howsoever caused, save in respect of death or personal injury to a member or guest to the extent caused by the negligence of The Workshop, its servants and/or agents. This is not intended to affect any mandatory rights a member or guest may have under local law that we cannot legally restrict or exclude.

30. Interpretation of the rules

In the event of any dispute arising as to the meaning or interpretation of these rules, the matter shall be referred to the Membership team, whose decision with respect to your membership shall be final and without appeal. These rules shall be governed and construed in accordance with English law and each member agrees to submit to the exclusive jurisdiction of the courts of England.

31. Amendments to the Club rules

The Workshop may change the Club rules from time to time, by displaying notification of the change on Club website: theworkshoplos.co.uk
